Rental terms

These Terms & Conditions apply to every reservation of Maple House, a private vacation rental in the Mad River Valley of Vermont, whether you book directly with us or through a third-party platform. By confirming a reservation, the person who books (the “Lead Guest”) agrees to these terms on behalf of everyone in their party.
If you book through Airbnb or VRBO, that platform’s payment, cancellation, and refund policies apply where they differ from the terms below.
A reservation is confirmed once we have received the booking deposit and the Lead Guest has accepted these terms. For direct bookings:
A deposit of 50% of the total rental amount is due at the time of booking.
The remaining balance is due 30 days before arrival. Reservations made within 30 days of arrival are paid in full at booking.
Rates include the cleaning fee. Vermont meals and rooms tax and any applicable local option tax are added to every stay.
Minimum stays are two nights, three nights on holiday weekends, and may be longer during peak ski and foliage seasons.
Cancel 60 or more days before arrival: full refund, less a $100 processing fee.
Cancel 30–59 days before arrival: 50% of the total rental amount is refunded.
Cancel fewer than 30 days before arrival: no refund, unless we are able to rebook the same dates, in which case we refund the rebooked amount less the processing fee.
Date changes are subject to availability and are treated as a cancellation and new booking if they move the stay to a different season. We strongly recommend travel insurance, particularly for winter stays when road conditions can affect travel plans.
Direct bookings include a refundable $500 security deposit, held as a card authorization starting two days before arrival. It is released within seven days of departure provided the house is left free of damage beyond normal wear, no rules have been broken, and no additional cleaning is required. We will always share photos and an itemized explanation before keeping any portion of the deposit.
Check-in is from 4:00 pm. Check-out is by 10:00 am.
Self check-in details, a door code, and our digital house guide are sent three days before arrival, once the balance and rental agreement are complete.
Early check-in or late check-out may be possible on request and is never guaranteed.
Maple House sleeps a maximum of eight guests, including children. Infants under two do not count toward occupancy but should be included in the guest count so we can prepare. The Lead Guest must be at least 25 years old and present for the entire stay. Additional overnight guests and events or gatherings beyond the registered party are not permitted without written approval.
No smoking or vaping of any kind inside the house or on the porches.
Quiet hours are 10:00 pm to 8:00 am out of respect for our neighbors.
Pets are not permitted. Trained service animals are always welcome.
The wood stove, sauna, and fire pit must be used as described in the house guide and never left unattended.
Parking is limited to three vehicles in the driveway. Please do not park on the road, especially during snowplowing.
Serious or repeated violations of these rules may result in the end of a stay without refund.
The driveway is plowed and sanded, but Vermont roads can be steep and icy between November and April. A four-wheel or all-wheel drive vehicle with winter tires is strongly recommended. We are not able to offer refunds for travel delays caused by weather.
Guests use the house, sauna, fire pit, outdoor spaces, and any provided equipment at their own risk. Maple House and its owners are not responsible for accidents, injuries, illness, or the loss of personal belongings during a stay, except where caused by our own negligence. Parents and guardians are responsible for supervising children at all times, including on stairs, near the wood stove, and around the sauna.
We work hard to keep everything running smoothly. If something stops working, such as an appliance, the Wi-Fi, or the hot water, please let us know right away and we will arrange a repair as quickly as possible. Rare interruptions outside our control, including power outages, severe weather, or road closures, do not qualify for a refund. If the house becomes uninhabitable for reasons within our control, we will refund the affected nights.
We only collect the information we need to manage your reservation, such as names, contact details, and arrival information, and we never sell it. Payments for direct bookings are processed by a secure third-party provider, and we do not store full card numbers. An exterior doorbell camera records the front entrance only; there are no cameras inside the house.
These terms are governed by the laws of the State of Vermont. We may update them from time to time; the version in effect on the date your reservation is confirmed applies to your stay.
